A duplicate is issued if the original of an inspection report for an official vehicle inspection is no longer available.

What is a duplicate copy and what is it needed for?

A duplicate is created if the original of an inspection report for an official vehicle inspection has been lost or has become unusable and, for example, the vehicle is to be sold with all important vehicle documents.

In many cases, the road traffic office no longer requires a duplicate for all official registration procedures, as the HU data record is available there in electronic form. This applies to all main inspections since October 2017 and, as a rule, also to main inspections carried out before that.

Every vehicle owner can order vehicle information from the KBA online free of charge at. The KBA information also states the validity of the main inspection.

Who can request duplicate copies?

Duplicates of investigation reports may only be issued to persons who are authorised to do so:

  • Vehicle owner at the time of the inspection
  • current vehicle owner
  • Dealer in whose vehicle inventory the vehicle is located
  • Person named in a corresponding court order
  • Public authority (road traffic office, police, court, public prosecutor's office)

What evidence is required when applying for a duplicate?

Proof of authorisation can be provided by private individuals by means of

  • Registration certificate part 1 or part 2 (vehicle licence or vehicle registration document)
  • or a legally binding purchase contract
  • plus identity card (or equivalent document)

These documents must be presented in the original at the TÜV NORD stations or, in the case of written enquiries, sent as a certified copy.

What requirements apply when creating duplicate documents?

The duplicate of an inspection report is only sent in paper form. The document is created, stamped and signed on forgery-proof paper from TÜV NORD Mobilität.

  • Individual pieces of information from an inspection report (e.g. mileage or defects) are not issued separately.
  • A complete document is always issued.
  • Inspection reports can no longer be retrieved at the latest 3 months after their expiry date.
  • Inspection reports are subject to the statutory retention period of 10 years.

ℹ️ Note: A duplicate no longer needs to be submitted to the road traffic authorities, as the authorities have access to the HU data record.
